These Terms and Conditions ("Terms") govern access to and use of the CrewVault platform, operated by CrewVault Private Limited ("CrewVault", "we", "us", "our"), by Recruitment Agencies, Sub Agents, Employers, and Job Seekers (together, "Users"). By creating an account or otherwise using the platform, you agree to be bound by these Terms. If you do not agree, do not use the platform.
1. What CrewVault Is
CrewVault is a technology platform that connects Indian blue-collar Job Seekers with overseas Employers (primarily in the Gulf region) through licensed Recruitment Agencies and their Sub Agents. CrewVault provides the software, verification workflow, and process tracking used to manage sourcing, screening, interviews, offer letters, and pre-departure coordination. CrewVault is not a recruitment agency, a staffing employer, or a party to any employment contract — it is the marketplace and workflow layer that licensed agencies and employers use to transact with each other.
The platform is being rolled out in phases. Some features described in these Terms may not yet be available to every user type while later phases are built.
2. Eligibility & Account Registration
- Recruitment Agencies must hold a valid recruitment license from the Ministry of External Affairs (or applicable state authority), a valid GST registration, and a valid embassy card where applicable, and must submit these for verification during onboarding.
- Sub Agents must operate under, and be added to the platform by, a Main Recruitment Agency that takes responsibility for their conduct on the platform.
- Employers must be a genuine operating business and provide company registration/license details, a verifiable contact person, and accurate company information.
- Job Seekers must be at least 18 years old and legally eligible to work overseas. Job Seeker profiles are typically created and maintained by the Recruitment Agency or Sub Agent assisting them.
CrewVault reviews submitted documents before activating an account. We may reject, delay, suspend, or request re-verification of any account at our discretion, including where documents appear incomplete, expired, or fraudulent.
You are responsible for the accuracy of the information and documents you submit, and for keeping your account credentials confidential. You must notify us promptly of any suspected unauthorized use of your account.
3. Platform Rules
The following conduct is prohibited for all Users:
- Uploading duplicate profiles for the same candidate, or submitting the same candidate to the same Employer through more than one Recruitment Agency at the same time.
- Requesting or attempting to obtain a candidate's direct contact details before an offer letter has been signed and the associated payment has been held, bypassing the platform's visibility rules.
- Charging a Job Seeker recruitment fees above the amount permitted under applicable Indian government regulations for overseas recruitment.
- Submitting fake, forged, or materially inaccurate documents — including licenses, certificates, identity documents, offer letters, or candidate credentials.
- Circumventing the platform to complete, outside of CrewVault, a placement that was introduced through CrewVault, in order to avoid applicable platform fees.
- Using the platform for any purpose other than legitimate recruitment-related activity, or in a manner that violates applicable law.
Violation of these rules may result in suspension or termination of an account under Section 6, in addition to any other remedies available to CrewVault.
4. Fees & Payments
Recruitment Agency subscriptions: access to agency-side features is subject to an annual subscription (Bronze, Silver, or Gold plan), billed at the rate applicable to the selected plan at the time of purchase, plus applicable taxes. Subscription fees are set out at checkout and may be updated by CrewVault for future billing cycles with notice.
Placement fees: CrewVault retains a share of the recruitment fee for successful placements made through the platform, as disclosed to the Recruitment Agency at the time of placement. Amounts payable to Sub Agents, where involved, are governed by the arrangement between the Sub Agent and the Main Agency, not by CrewVault directly.
Payment hold feature: where a Job Seeker's payment is held by the platform during the placement process, it is held as a custody/hold mechanism tied to process milestones (such as offer signature and visa progress), not as a licensed banking escrow account. Specific hold, release, and refund conditions will be disclosed to the Job Seeker at the time payment is collected.
Detailed cancellation and refund terms for subscriptions and placement-related payments will be set out in the applicable checkout flow or a separate Refund Policy, and form part of these Terms once published.
5. Data & Privacy
Our collection and use of personal data, including the tiered visibility rules that control when an Employer can see a candidate's contact details, is described in our Privacy Policy, which forms part of these Terms.
6. Suspension & Termination
CrewVault may suspend or terminate an account for breach of these Terms, submission of fraudulent documents, non-payment of fees, or conduct that puts other Users, candidates, or the integrity of the platform at risk. Where reasonably possible, we will notify the affected User of the reason.
You may stop using the platform at any time. Termination of an account does not relieve either party of obligations that arose before termination (such as fees already payable, or an in-progress placement). Handling of personal data after account closure is described in our Privacy Policy.
7. Role of CrewVault in Placements
CrewVault provides the platform used by Recruitment Agencies and Employers to manage recruitment; the employment relationship, offer letter, and associated obligations exist directly between the Employer and the Job Seeker (or their sponsoring agency), governed by the laws of the country of employment. CrewVault does not guarantee the outcome of any application, interview, visa process, or placement, and is not responsible for the conduct of any Recruitment Agency, Sub Agent, or Employer using the platform.
8. Intellectual Property
The CrewVault platform, including its software, design, and standardized CV/document formats, is owned by CrewVault and protected by applicable intellectual property laws. Users retain ownership of the content and documents they submit, and grant CrewVault a license to host, process, and display that content as needed to operate the platform and deliver the service.
9. Disclaimers & Limitation of Liability
The platform is provided on an "as is" and "as available" basis. While CrewVault reviews documents submitted during onboarding, we do not guarantee that every Recruitment Agency, Sub Agent, Employer, or Job Seeker profile is accurate or that a document is genuine, and Users should exercise their own diligence. To the maximum extent permitted by law, CrewVault's liability for any claim arising from use of the platform is limited to the fees paid by the affected User to CrewVault in the twelve months preceding the claim.
10. Governing Law & Disputes
These Terms are governed by the laws of India. Any dispute arising out of or relating to these Terms or use of the platform will be subject to the exclusive jurisdiction of the courts of Bengaluru, Karnataka.
11. Changes to These Terms
We may update these Terms as the platform evolves. We will update the "Last updated" date above when we do; material changes will be communicated to registered users.
